Business Tips: 6 Communication Tools You Should Know About

Business communication has come a long way in the past few years. With so many new tools and technologies at our disposal, it can be hard to know which ones to use and when. Communication tools are the cornerstone of any business, but not all communication tools are created equal. There are many options but some are better than others. In this article, we will explore six of the most common business communication tools, and discuss when it is best to use them.

SIP Trunking

The first communication tool we will discuss is SIP Trunking. This method of communication works by relaying a phone call over the internet, instead of through a traditional telephone line. In order for this to work, you have to have your phones connected directly to the internet with an internet telephone adapter, or ITA. The ITA is a device that breaks the analog signal of your telephone into bits and then reconstructs it through the internet. This makes international calling easier. SIP Trunking can be an extremely useful business communication tool, but you have to make sure you get it from a reputable company. If your ITA fails or is hacked, all of the calls on your phone system will drop.

SMS

While this may be an obvious solution. The upside of SMS is that it’s easy to use and readily available for most users. However, there are some major downsides to SMS that you need to consider. If your employees are traveling or working remotely, they won’t be able to use this method of communication. You might have better luck with another tool on the list. Although, it can be a great solution if you don’t plan to communicate internationally.

Email

Email is an extremely popular business communication tool, but a lot of businesses still don’t realize how valuable it can be. With the exception of live chat, email is one of the only business communication tools that work across borders and time zones. If you are in China and your client is in Japan, email will likely be the best bet for communicating back and forth quickly. Email can also be used to send files or other large items easily without much hassle.

Video Calls

If you can’t meet in person to discuss business, or if the client is overseas, video calls are an excellent alternative. Video calls also give you more insight into your clients’ emotions and allow you to feel like part of the discussion. It gives off a better impression than an email back and forth because it shows that there was effort put into the communication and you care about what your client has to say.

Chat Tools

If you don’t have a video chat set up, you can use a chat service such as WhatsApp to communicate. However, this should not replace your emailing and texting. This tool is extremely helpful for business communication but it’s still in the minority of tools used because it’s not as popular or reliable as others. It can be very useful for staying in touch with your employees. Tools such as Slack can be great too, but they rely on internet connectivity and can be slightly more complicated to set up. Most companies use Slack, as it’s an easy way for the employees to communicate and get things done faster.

Telephone Calls

One of the most straightforward methods of communication is just to pick up the phone and call them. With this method, you have an excuse to send a quick text or email before you call if there are any pressing concerns that need to be addressed immediately. This method is also great for building personal connections and relationships with your clients. Telephones have been used for decades and they are still just as important today.

Communication is a key part of any business. It’s essential for collaboration, building relationships with clients, and driving sales. One way to make sure you are using the right tool at the right time is by considering your company’s needs first. You want to take into account what type of communication will be necessary in order to accomplish these goals before deciding on which method(s) you should use. Businesses should consider how they communicate with clients, suppliers, and even their own employees. Choosing the right tool for the job might not be easy, but it will save you time and money in the long run. Communication is one of the most important aspects of running a business, so choose wisely.
